Understand what leaves your notebook.

Privacy policy.

How the WireMunch app handles your recordings, notes and account, what leaves your device, and how to delete it.

Effective 20 October 2026. Applies to the WireMunch Android beta.

Who is responsible

WireMunch is published by an individual, Aby Biju. Privacy contact: .

What we collect and why

  • Account information: a sign-in identifier and the email address you use with the sign-in service, so you can sign in, verify your email, reset your password and own your cloud content.
  • Recordings you choose to upload: the audio file and its recording details, so WireMunch can store it in your account and, if you ask, process it.
  • Content derived from your recordings: transcripts, generated guides and illustrations, so you can read and check a guide against its source.
  • Notebook content you choose to sync: titles, categories, personal notes and corrections, so they are available in your account.
  • Limited technical records: request and security logs needed to operate, secure and troubleshoot the service.

WireMunch has no advertising and no analytics or tracking SDK, does not sell personal information, and does not use your content for advertising.

Recordings and notes on your device

Capture and import store original audio and recording information in the app’s private storage. The notebook can also contain transcripts, generated guides, illustrations, personal notes, corrections and unfinished drafts. Merely saving or opening a local recording does not send it to an AI provider.

Microphone permission is requested when you start recording. Imported files use the file you select. Operating-system permission does not establish that you have permission to record other people; only record or upload audio you have the right to use.

When data leaves the device

Sign-in

Auth0 handles the browser sign-in flow and account credentials. The app stores its session tokens in protected device storage. WireMunch’s backend associates the identity-provider identifier with a WireMunch account. Auth0 keeps its own authentication and security records, which can include account identifiers, email and IP addresses, and browser information. These are separate from WireMunch’s application request logs.

Upload and AI processing

Choosing an upload sends the selected audio and its recording metadata to the WireMunch backend. AI processing is a separate choice with its own provider and maximum-cost review before anything is sent. The processing path sends audio to AssemblyAI for transcription and source-derived text or artwork prompts to OpenAI. Personal notebook notes are not part of that request. During the current beta, new AI processing is paused unless it is separately enabled.

Optional notebook synchronization

If you enable notebook sync, titles, categories, personal notes and selected corrections are sent to your owner-scoped WireMunch account. This is separate from submitting audio for AI processing.

Sharing and recovery copies

A PDF contains the version and options you choose; personal notes are excluded unless selected. A recovery archive contains notebook and media history, is encrypted, and needs its separate recovery key. Sharing sends the audio file, PDF or encrypted archive you choose to the destination you select. A PDF saved to device storage is also a separate copy. WireMunch does not control the retention of copies at a destination you choose.

Service providers

  • Auth0 (Okta): sign-in and account security.
  • Resend: account verification and password-reset emails, including your address and the email links.
  • Supabase PostgreSQL (US East): account and product metadata.
  • OVHcloud (US East): hosts the WireMunch API and private storage for uploaded audio and derived files.
  • AssemblyAI: transcription of audio you choose to process.
  • OpenAI: generation of guide text and artwork from source-derived prompts.
  • Cloudflare: DNS and hosting for this website.

These providers process data on our behalf to run the features you choose. Cloud AI processing is not end-to-end encrypted against those processors. WireMunch’s services are hosted in the United States; providers may process data in other locations under their own terms. OpenAI states that API data is not used to train its models by default. AssemblyAI model-improvement sharing is turned off for WireMunch.

How long we keep data

  • Recordings, guides and synced notes in your account: kept until you delete the recording or your account. There is no automatic inactivity deletion.
  • Device-only recordings and notes: stay in app storage until you remove them, clear the app’s data or uninstall the app.
  • WireMunch application logs: kept for up to 14 days.
  • Server disk backups: the OVHcloud server keeps seven daily backups, so deleted server files can remain in a backup for about 7 days before it rolls off.
  • AssemblyAI: WireMunch sets transcripts to expire after 30 days, and AssemblyAI begins deleting uploaded audio within about 24 hours. AssemblyAI reports that deletion can lag by hours to a few days, and it keeps certain metadata for logging and billing.
  • OpenAI: keeps API abuse-monitoring logs for up to 30 days unless law requires longer. WireMunch does not ask OpenAI to store its text responses.
  • Deletion records: after an account deletion we keep a minimal record without recordings, transcripts or notes, so deleted data is not restored and spending records stay consistent.

Known limits

We prefer to state these plainly. AssemblyAI has not fully confirmed which metadata it keeps, how its backups are handled, or how an upload is cleaned up if WireMunch never received its receipt; we do not claim complete provider erasure from a deletion acknowledgement alone. The Supabase metadata database is backed up separately from the OVHcloud disk backups. Copies you shared or saved elsewhere cannot be recalled.

Security

Connections to the WireMunch API use HTTPS. Cloud resources are limited to their owner’s account. Session tokens use protected device storage, and recovery archives are encrypted with a separate key. No system is perfectly secure; tell us at if you notice a problem.

Deleting your account

You can remove your server account from the app, or request deletion without the app using the account-deletion page. We acknowledge requests within 2 working days and remove application-owned live content within 7 days after confirming you control the account. Removing downloaded device copies, original local audio and personal notes is a separate action on your device.

Your choices

  • Keep everything on your device by not uploading, processing or syncing.
  • Correct guides and notes in the app, and export a guide as a PDF or an encrypted recovery archive.
  • Delete individual recordings or your whole account.
  • Email us to ask about, correct or delete personal information we hold. We may need to verify that you control the account. Depending on where you live, you may have additional legal rights, including complaining to a data-protection authority.

Children

WireMunch is intended for adults 18 and older and is not directed at children. If you believe a child has provided personal information, contact us and we will delete it.

Changes to this policy

We will update this page and its effective date when our practices change, and highlight material changes in the app or by email before they apply.
